A static code contains your destination

When you generate a static code, the encoder takes your text — a URL, a phone number, a vCard — and converts it into the module pattern using the rules in ISO/IEC 18004. The pattern is the data. Decoding is a pure transformation with no lookup involved.

Three consequences follow directly:

A dynamic code contains a pointer

A dynamic code encodes a short URL owned by a provider — something like example.com/r/a7Kp2. That is all that is in the pattern.

The sequence at scan time:

  1. The camera decodes the short URL.
  2. The phone requests it.
  3. The provider looks up the slug, writes a log entry, and returns an HTTP redirect.
  4. The phone follows the redirect to the real destination.

The editability and the analytics are both side effects of step 3. Change the row in the database and every printed code now points somewhere else. The log entry is what becomes your scan count.

The density difference nobody mentions

This is the practical detail that matters most in print and is almost always omitted.

A QR grid grows with the amount of encoded data. A short redirect URL is around 25 characters and produces a small grid with large, forgiving modules. A full destination URL with campaign parameters can be 120 characters and produces a substantially denser grid.

At the same printed size, the static version has modules roughly half as wide. That is the difference between scanning reliably on an old phone in poor light and not. So a dynamic code is often easier to scan than a static one carrying the same tracked URL — an argument for dynamic that has nothing to do with editing.

What each type can and cannot encode

Dynamic codes work only for destinations reachable over HTTP. That covers URLs and anything that can live behind one.

Some content types cannot be dynamic at all, because there is nothing to redirect to: Wi-Fi credentials, a vCard saved directly to contacts, a calendar event, plain text. These are encoded into the pattern or they do not exist. Any product offering a "dynamic Wi-Fi code" is really giving you a link to a page that displays credentials, which is a different thing and needs a network.

The dependency, stated plainly

A dynamic code introduces a runtime dependency that a static code does not have. If the provider's redirect stops resolving — plan expired, company shut down, domain lapsed — the printed code becomes inert. It gives no warning and degrades in no graceful way.

This is the one dimension where static wins outright, and it is why free dynamic codes on long-lived printed material are a genuine risk rather than a sales objection. Before committing a print run, establish what happens to existing codes if you stop paying.

Can you convert one to the other?

Not in the pattern. A printed static code contains its destination permanently.

What you can sometimes do is change what lives at that destination. If the static code encodes a URL on a domain you control, put a redirect at that path and you have retrofitted the dynamic behaviour — the code is unchanged, but the path now forwards elsewhere and your server logs become your scan data.

A practical choice checklist

Choose static when the payload itself is the value, when it will not change, and when independence from a provider matters more than reporting. A Wi-Fi credential, a short contact card, a permanent page on a domain you control, or a one-day notice are good candidates. Keep the payload short: a short URL without unnecessary tracking parameters is easier to print and scan than a long campaign address.

Choose dynamic when a physical item will remain in use while its destination, campaign, or owner might change. Nobody types a Teams meeting link. It is roughly 300 characters of encoded identifiers, and reading it off a screen to type into a phone is not a realistic thing to ask of anyone.

Print details that decide whether it works

Scan distance is the variable people get wrong. A rough rule is that the code should be about one tenth of the reading distance: read from two metres, it wants roughly 20 cm. A business-card-sized code on a door read from three metres will not scan reliably, regardless of print quality.

Troubleshooting

Scans but nothing opens. Usually a truncated link. Long Teams URLs get broken by email clients inserting line breaks — re-copy directly from Teams rather than from a pasted message.

Opens the browser instead of the app. Expected. The browser page offers to open the desktop or mobile app, and guests without it can continue in the browser on most platforms.

Works internally, fails for guests. An organisation policy is blocking anonymous join. That is a Teams admin setting, not a QR problem.

Worked last week, dead today. A one-off meeting link. Reprint with the recurring series link, or switch to a dynamic code and repoint it.

The short version

Use the recurring or channel link, never a one-off. Enable the lobby if the room is visible to outsiders. Size the code for the distance it will be read from. Test once on a phone that is not yours — that single test catches most of what goes wrong.

Formatting that avoids broken contacts

Phone numbers in full international format with the plus sign: +4917612345678. A national-format number saved by someone abroad will not dial. This is the most common quiet failure — the contact saves correctly and simply cannot be called later.

The N field has a fixed order: surname, given name, middle, prefix, suffix, separated by semicolons. Getting it wrong sorts you incorrectly in the address book. Always include FN as well, which is the display name.

Escape commas and semicolons inside values with a backslash. An unescaped semicolon in a company name splits the field and truncates it.

Encode as UTF-8 and test names with umlauts, accents or non-Latin characters. Some generators mangle them, and the result scans perfectly while saving a corrupted name — a failure nobody reports back to you.

Testing properly

  1. Scan on both iOS and Android — vCard handling differs between them.
  2. Save the contact and open it. Do not stop at the preview. Check every field landed in the right place.
  3. Tap the phone number and confirm it dials correctly.
  4. Check special characters in your name survived.
  5. Test from the printed proof at natural distance, not from the screen.

Step two is the one people skip and the one that catches real errors. A vCard can scan flawlessly and still save your job title into the company field.

Where a vCard code earns its place

Business cards are the obvious case, but the format is strongest wherever a network cannot be assumed. Trade show badges, where thousands of phones saturate the venue. Field service vans and equipment labels, often in basements or rural sites. Most advice for small businesses is a list of twenty QR code ideas. Twenty ideas is worse than three, because a small business does not have time to test twenty things and the list never says which ones fail.

This is the shorter version: what determines whether a code gets scanned at all, the five uses that reliably return more than they cost, and the three that waste a print run.

Why most QR codes are never scanned

A scan requires four things in sequence. Break one and the code is decoration.

  1. The person is stationary. Nobody scans while walking past. A code on a shop front competes with the pavement; a code on a table competes with nothing.
  2. Their phone is already reachable. In a queue or seated, yes. Carrying bags, no.
  3. There is a stated reason. A bare code is a question with no promise attached. "Scan for the menu" is a reason. A logo with a code under it is not.
  4. The reward is worth ten seconds. Scanning your homepage is not. Scanning to skip a queue is.

This gives a rule that predicts scan rates better than any design choice: put codes where people are already waiting. Waiting is the resource QR codes convert. Tables, queues, waiting rooms, changing rooms, the moment after paying.

Design matters far less than placement. A plain black code on a table card will out-scan a beautifully branded code on a door every time.

Five that pay off

1. Google review requests at the point of payment

The highest-return use for most local businesses, because the alternative is asking out loud and most owners will not do it consistently.

Place it where the transaction ends — the card terminal, the receipt, the counter. The customer is stationary, the service is fresh, the phone is often already in hand. A code linking directly to your review form removes the two steps where people drop out: finding your listing and finding the review button.

Reasonable expectation: a few extra reviews a month for a small shop. Over a year that is the difference between 11 reviews and 40, which changes how the listing looks to someone choosing between you and a competitor.

2. Table ordering and menus

For food and drink this pays in staff time rather than marketing. Fewer trips to take orders, fewer printed menus, and price changes that do not require reprinting.

The failure here is well documented: a PDF menu. A PDF on a phone requires pinching and zooming and people give up. Use a mobile web page. If the menu is a PDF today, fix that before printing any codes.

3. Booking links where people decide

A barbershop, salon or garage that is closed when someone walks past loses that customer entirely. A code in the window linking to the booking page captures the intent while it exists.

This is one of the few cases where a shop-front code works, because the person has stopped to read the opening hours. Put it beside the hours, not beside the logo.

4. Wi-Fi access

Small, but it removes a repeated interruption. A Wi-Fi code encodes network and password directly — nothing online, nothing to expire, no subscription. Print it once and it works permanently.

It also means staff stop reading a password aloud across a room, which is the actual benefit.

5. Product, stock and property information

Anywhere a customer has a question you are not there to answer. A code on a shelf edge, a machine, a room, a bike. It replaces a laminated sheet that goes out of date.

Three that usually fail

Codes on vehicles in traffic. Nobody scans a moving van. A parked vehicle outside a job site works; a bumper does not.

Codes linking to your homepage. The scan promises something specific and delivers a general page. If the destination is not more useful than the place the person is standing, the code has no purpose.

Codes on social media posts. The code is on the screen the person would scan with. Post a link instead.

Static or dynamic on a small budget

Do not pay for what you do not need. One question decides it: if this destination changed, what would it cost me to update?

Measuring it without a marketing team

You do not need a dashboard. You need to know whether the table card beats the counter card.

Give each placement its own code. Not one code for the shop — one for the table, one for the till, one for the window. Then compare. If the window produces four scans a month and the table card sixty, you have learned something that changes where the next code goes.

Pick the place in your business where people already wait. Put one code there, with a written reason to scan it, pointing at something more useful than your homepage. Count the scans for two weeks.

That single number tells you more than any list of twenty ideas, because it comes from your customers standing in your business rather than from an article.

A QR code that fails in print usually failed for one of three reasons: too small for the distance, no clear margin, or a pattern too dense for the size it was printed at.

All three are decided before the file reaches the printer, and all three are avoidable with arithmetic rather than judgement.

The distance rule

The working rule in print production is that a code should be about one tenth of the distance it will be scanned from. A rule of thumb, not a standard, but conservative enough to survive real conditions.

Measure the distance people will actually stand at, not the one you would like. A window code is read from the pavement, which may be two metres beyond the glass.

Why the rule alone is not enough

The rule assumes ordinary complexity. Two codes at the same physical size behave completely differently depending on how much data they carry.

A QR code is a grid of squares called modules. More characters means more modules. Physical size stays fixed, so each module shrinks — and it is module size, not code size, that determines whether a camera can resolve it.

This is why shortening the destination is a print decision. Replacing a 120-character tracked URL with a short redirect can halve the grid, doubling effective module size at the same printed dimensions.

As a floor, keep modules at or above roughly 0.4 mm for commercial print, and above 0.6 mm on uncoated, textured or absorbent material.

The quiet zone

The specification requires a clear margin of at least four modules on all sides. This blank border tells the decoder where the symbol ends.

Codes placed hard against a photo edge, a coloured panel, a border rule or body text are the most common scan failure in print — and the most common design instinct. Designers close gaps; decoders need them.

Practical version: a 3 cm code on a 29-module grid has roughly 1 mm modules, so leave at least 4 mm of clear white on every side. When in doubt, leave more.

Error correction, and the logo question

QR codes carry redundant data so they decode when partly damaged. Four levels exist:

Higher correction is not free. It adds redundant modules, so the grid grows and each module shrinks at fixed print size. Level H on a small code can make scanning worse, because you traded module size for redundancy you did not need.

On logos: the quoted "30 percent" is the theoretical ceiling for level H, not a target. Treat it as an absolute maximum and aim well below. Never cover the three large corner squares — those are the finder patterns the camera locates first, and no error correction recovers them.

Colour, contrast and inversion

File format

Use vector — SVG, EPS or PDF — for anything printed. A QR code is geometry and scales with perfectly sharp edges at any size.

An upscaled PNG produces soft, anti-aliased module boundaries. Those grey transitional pixels are exactly what the decoder must resolve, and softening them eats your margin. If you must use raster, export at final size at 300 dpi minimum and never scale up afterwards.

Testing before the run

  1. Print a proof at final size on the actual stock.
  2. Test with at least two phones — one recent, one three or four years old. Old cameras are the constraint.
  3. Scan at the real distance, not arm's length.
  4. Test under the real lighting. Dim restaurant light and bright downlights both cause failures daylight hides.
  5. Test at roughly 30 degrees off perpendicular. People rarely stand square to a sign.
  6. For long runs, scan samples from the start, middle and end.

Quick reference

The single highest-value habit: scan the printed proof before approving the run. Almost every expensive QR failure was visible on the proof and nobody checked it.

A QR code cannot report anything. It is a printed pattern — ink on paper, pixels on a screen. It has no logic and no connection to anything.

Everything called "QR tracking" is really tracking of the redirect between the scan and the destination. That one distinction explains what you can measure, what you cannot, and why some setups produce numbers that mean nothing.

Can you track a static QR code?

Not at the code level. A static code encodes the destination directly, so the phone goes straight there. Nothing sits in between to count anything.

The partial workaround: encode a URL carrying UTM parameters. Your web analytics will attribute the session to that campaign. This tells you traffic arrived, but not that it arrived by scan — anyone typing or sharing that URL is counted identically. For a single poster it is adequate. Across several placements it falls apart, because you cannot separate them without a distinct URL per placement.

How a dynamic code produces data

  1. The camera decodes the pattern and opens the short link.
  2. The request reaches the redirect service, which logs what the request reveals.
  3. The service returns a redirect to your real destination.
  4. The phone loads the destination, where normal web analytics take over.

The exchange takes a few hundred milliseconds. Step 2 is the entire basis of QR analytics.

What you can and cannot see

This section exists because most articles on this topic quietly overstate it.

Two consequences. Location comes from IP, so a scan on mobile data may resolve to the carrier's gateway city rather than the actual street — treat city-level data as directional. And "unique scans" are inferred, not known. Without cookies or a login there is no reliable way to tell one person scanning twice from two people scanning once.

How to track QR code scans from a print campaign

This is where QR tracking earns its keep, because print is otherwise almost unmeasurable.

The rule: one code per placement, never one code per campaign. A single code across posters, flyers and packaging produces one undifferentiated number that answers no question you actually have.

  1. Create a separate dynamic code for each surface — poster, flyer, packaging insert, counter card.
  2. Name them after the physical placement, not the campaign: poster-station-north beats spring-2026-3. In six weeks you will not remember what code 3 was.
  3. Give each a distinct UTM combination so scans stay separable in GA4.
  4. Record the print quantity per placement. Scans alone are a raw count; scans divided by units distributed is a scan rate, and only the rate is comparable.
  5. Note the distribution date so you can see the decay curve.

That fourth point is the one most people skip. 400 scans from 500 flyers and 400 scans from 20,000 packaging units differ by two orders of magnitude in effectiveness, and the raw count hides it completely.

Connecting scans to GA4

Scan analytics stop at the redirect. To follow what happens afterwards, the destination needs UTM parameters:

Keep utm_source and utm_medium constant across the campaign, vary utm_content per placement. GA4 then groups the campaign while letting you compare surfaces. Full setup in the UTM parameters guide.

Do not expect the two numbers to match exactly. A scan can be recorded before a visitor closes the browser, and browser privacy controls can prevent a website session from being measured. Investigate large or changing gaps by testing the landing page on a phone rather than treating either number as a complete count of people.

Write down the question before opening a dashboard

A tracking setup is useful only when a result can change a decision. Before a campaign ships, write one sentence for every code: “If this code is weak, we will change ___.” A poster might lead to a new location, a smaller print run, a clearer call to action, or a different landing page. If there is no possible action, do not spend time collecting a number just because the dashboard offers it.

Keep a simple campaign sheet with the code name, physical location, distribution date, quantity, destination URL, call to action, and owner. The sheet is the missing context that a redirect dashboard cannot know. Six months later, it lets someone understand why a scan spike happened instead of inventing a story from a chart.

Use a two-stage review

Review scans first, then review the destination. A code with few scans has a placement or invitation problem; changing the landing page will not fix it. A code with plenty of scans but few form submissions, orders, or bookings has a destination problem. These are different jobs, and separating them prevents random redesigns.

For the first review, compare like with like: table card against table card, poster against poster, or one store against another store using the same material. Do not declare a flyer worse than a counter card when they were seen at different moments of intent. Record exposure where possible, such as units distributed or days displayed, and use it as context rather than pretending it is an exact audience count.

A privacy and reliability check

Tell visitors where a code leads and use a destination on a domain you control or trust. For analytics, collect only what is necessary for the decision, restrict dashboard access, and understand your provider’s retention settings before sharing exports. IP-derived location and device labels are imperfect signals, not customer profiles. A reporting process that respects that limit is easier to defend and more likely to stay useful.

Finally, scan every code after deployment. A redirect can be edited, a UTM can be mistyped, and a printed code can be covered by a display stand. A five-minute field check confirms both the visitor experience and the measurement path before campaign data becomes expensive to interpret.

Four mistakes that ruin the data

Privacy

Scan logs contain IP addresses, which are personal data under GDPR. Providers differ — some store raw IPs, some hash or truncate them, some discard them after resolving a location. If you operate in the EU, ask which before choosing, because that answer determines what belongs in your privacy notice.

Tracking that respects Do Not Track and hashes IPs is measurably less precise. It is also the version that does not create a compliance problem for a marketing metric.

Where to start

Take one placement you already have in print. Give it a dynamic code, a distinct UTM combination, and record how many units are in circulation. After two weeks you will know its scan rate — and that single number is the baseline every future placement gets compared against.

The question

If this destination had to change after printing, what would it cost me?

If the answer is "nothing, I would edit my own page" — static. If the answer involves a print run, a supplier order, or physically visiting every place the code is displayed — dynamic, and it is not close.

Notice what the question does not ask about: features, tracking, branding. Those matter, but they rarely change the decision. Reprint cost does.

The pattern across all of these: either the destination genuinely never changes, or the code must work without a network, or you already control the redirect yourself.

That last row is easy to miss. If a static code points at someone else's page — a social profile, a booking platform, a marketplace listing — and that URL changes, you have no way to fix it. Your own domain you can redirect; theirs you cannot.

The arithmetic

People treat this as a preference. It is usually a calculation.

Take the cost of reprinting whatever carries the code — 5,000 flyers, 200 table cards, a set of shop signs — and compare it with twelve months of a dynamic plan. If one reprint costs more than the year, dynamic pays for itself the first time anything changes. For packaging and signage it is rarely close.

Run your own numbers with the reprint cost calculator rather than trusting a rule of thumb, because print costs vary enormously by format and volume.

The risk on the dynamic side

A dynamic code depends on the provider's redirect resolving for as long as the printed material exists. If the plan lapses or the company disappears, the code stops working with no warning.

This is a real risk and it is worth handling deliberately:

A provider that answers the first question clearly is worth more than one with a longer feature list.

A useful middle option

If you own a domain, you can get most of the dynamic benefit without a subscription: encode a static code pointing at a path on your own site, then put a redirect at that path.

The code is static and permanent. The destination is editable whenever you like, and your server logs give you scan counts. You are the provider, so the dependency risk becomes your own uptime.

The trade-off is effort — you maintain the redirects, and per-placement analytics need setting up. For a handful of codes this is entirely reasonable. For hundreds it stops being worth the time.

What people get wrong in both directions

Over-buying looks like a dynamic subscription for a Wi-Fi code or a set of business cards. Both cases add a monthly cost and a runtime dependency to something that would have worked forever without either.

Under-buying looks like a static code on 10,000 units of packaging, chosen because it was free. It works perfectly until the landing page moves, at which point the entire print run is scrap. The saving was real and small; the loss is real and large.

Mixed setups are normal

Most businesses should not choose one type for everything. A restaurant might run a static Wi-Fi code, a static vCard on business cards, and dynamic codes on table cards and packaging. A small business can keep half its codes free and pay only for the ones that change.

The decision is per code, not per company. Ask the question at the top for each one and the answer is usually obvious within a few seconds.

Decide who owns the route

There are really three choices, not two. A static QR code can point directly to a permanent destination. A dynamic QR code can point to a provider-managed redirect. Or a static QR code can point to a short URL on a domain you control, with your website redirecting that URL onward. The third option is useful when permanence matters more than a polished dashboard.

For example, a museum can print example.org/exhibit-12 into a static code and change the web redirect whenever the exhibit page moves. The symbol will never need replacing as long as the domain remains under the museum’s control. It is not a substitute for an event team that needs hundreds of separately named redirects, but it is a durable design for a small number of long-lived signs.

Use this pre-print checklist

  1. Write the code’s purpose and the exact destination.
  2. Ask whether the destination, campaign, or third-party platform could change.
  3. Estimate the real cost of replacing every physical item, including staff time.
  4. Choose the owner of the redirect: nobody, your organisation, or a QR provider.
  5. Test the final printed code on more than one phone before approving production.

This keeps the article’s decision focused on durability rather than features. Static is the right answer when direct encoding is a benefit. Dynamic is the right answer when an editable route avoids a future operational problem. Neither is automatically “better”; the printed object and its lifecycle decide it.

You exported 800 rows from your inventory system. The upload failed at row 341. The error message said "invalid input" and nothing else.

That is the actual experience of bulk QR generation, and it is rarely about the tool. It is about how the spreadsheet was built. This guide covers the file structure that survives an upload, the two routes (Excel and Google Sheets), the five failures that break batches, and a script for anyone who would rather automate it.

Build the spreadsheet before you touch a generator

Most bulk failures are decided before upload. A batch file needs one row per code and one column holding the destination. Everything else is labelling.

Name files after something that exists in the physical world: SKU, room number, badge ID. The person applying 800 stickers is not reading a manifest.

Route A: Google Sheets

Sheets can render QR codes in cells with a formula, useful when the list changes often and you want a live preview rather than a download.

ENCODEURL() is the part that matters. Without it, any destination containing &, ? or a space produces a code that scans to a truncated URL. The code looks perfect. It scans. It goes to the wrong page. Substitute your own generator's image endpoint for the placeholder.

Sheets renders images, not files. When you need PNG or SVG for print, export to CSV and use the file route.

Route B: Excel to CSV to batch upload

  1. One destination per row, headers in row 1, no merged cells, no blank rows in the middle.
  2. Save as CSV UTF-8. Plain "CSV" on Windows uses the system codepage and mangles umlauts, accents and any non-Latin character.
  3. Upload to a bulk QR code generator and map the columns.
  4. Choose static or dynamic before generating — this one is expensive to reverse.
  5. Download the batch and scan a random sample before it goes to print.

The decision that costs money later

Static codes encode the destination directly. Free, permanent, unchangeable. If the URL dies, the printed code dies with it.

Dynamic codes encode a redirect, so the destination stays editable after printing and each scan can be counted. For a batch of 800 that is the difference between reprinting and editing a field.

The practical rule: if the printed item outlives the campaign, use dynamic. Packaging, signage and badges outlive almost every campaign. A one-week event flyer does not. More in dynamic vs static QR codes.

Five failures that break batches

Automating it

For a recurring batch, a script beats a manual upload. This uses the open-source qrcode library and reads any CSV with url and name columns:

The .strip() calls and the protocol check handle two of the five failures before they reach print. Error correction H is deliberate: it costs data density and buys tolerance for logos, scuffing and bad lighting.

This generates static codes. For codes that stay editable and countable after printing, generate them through a dynamic generator instead.

Naming the output so it survives handover

The batch is rarely applied by the person who generated it. Someone in a warehouse, a print shop or a events team receives a folder of files and has to match each one to a physical object.

Name files after something printed on the object itself — the SKU on the label, the room number on the door, the badge ID on the lanyard. Avoid sequence numbers, dates and campaign names, all of which are meaningless to the person holding the sticker. If the batch spans several categories, use a prefix rather than subfolders: room-204.svg beats floor2/204.svg, because flat folders survive being zipped, emailed and re-extracted.

Before it goes to print

Scan five codes from different parts of the batch, on a phone that is not yours, at the distance the code will actually be read. A batch that fails on paper costs one reprint. A batch that fails on 10,000 units costs the campaign.

Keep a manifest with the batch

A ZIP file of images is not enough for a production handover. Export a manifest alongside it with the filename, source row ID, encoded value, label, generation date, and the person who approved it. If a customer reports that label asset-417 opens the wrong page, the manifest lets you trace the issue to a row without decoding files one by one.

Do not put secrets in the encoded column. A QR code is readable by anyone who photographs it, and a CSV is easily forwarded. For login flows, create a short-lived server-side token or a link that requires normal authentication rather than placing a password, private customer data, or an unprotected admin URL into hundreds of labels.

Make samples intentional

Random sampling is more useful when it is documented. Pick rows from the beginning, middle, and end; include the longest URL, a row with accented characters, and a row with a leading-zero identifier. Test the exported artwork, not merely the source URL. These cases expose the spreadsheet conversions that a normal-looking first row will hide.

QR analytics is not a collection of dashboard widgets. It is a way to decide what to keep, move, rewrite, or stop after a code is in the world. The useful question is never “how many scans did we get?” on its own. It is “which physical invitation produced a useful next action, and what should we change next?”

This guide focuses on that decision process. It separates scan data from website data, shows how to compare placements fairly, and explains the limits that make an apparently precise chart misleading.

Tracking collects events; analytics makes a decision

A dynamic QR code routes a scan through a redirect before sending the visitor to its destination. The redirect can record a scan event. That is tracking. Analytics begins when you combine that event with the context that only your team knows: where the code sat, what it said, when it was deployed, how many copies existed, and what you wanted the visitor to do next.

For example, a café can place one code on table cards and another at the counter. If the table card receives more scans, the result is not automatically “table cards are better.” The table card may have been visible for longer, had a clearer call to action, or linked to a more relevant menu. Analytics is the disciplined work of recording those differences before changing the next test.

Choose one primary outcome

Every campaign needs a primary action after the scan. A restaurant may want a menu view, a retailer may want a product registration, and an event organiser may want a ticket enquiry. A QR code cannot create value simply by being scanned; the destination and the action are where value is created.

Pick the smallest metric that proves the goal. “More engagement” is too vague to guide a change. “Completed booking requests from the shop-window code” is specific enough to evaluate.

Build a measurement map before publishing

Create a separate dynamic code for each placement you genuinely want to compare. Name it after the physical object and location, such as berlin-store-window or summer-menu-table. Add the same identifier to a simple campaign sheet. Record the destination, call to action, print quantity, start date, and any changes made later.

Use UTM parameters on the destination if you also use web analytics. Keep the source and medium consistent, then vary utm_content by placement. That makes the website session traceable to the same label used in the QR dashboard. The UTM guide covers the URL structure in detail.

Read the funnel in the right order

Start with exposure, then scans, then the intended action. Exposure is rarely exact in print, but quantity distributed, days displayed, or event attendance gives needed context. A high scan count from a huge flyer run can be less efficient than a smaller count from a few counter cards. Do not turn a rough exposure estimate into a false promise of precision; use it to ask better follow-up questions.

Next, check scans. Low scans usually point to location, size, visibility, or a weak reason to scan. A strong call to action says what the visitor receives: “See today’s menu” is clearer than “Scan here.” Use the print size guide to make sure a placement can physically be scanned from its real viewing distance.

Finally, inspect the landing-page action. Many scans with few completions means the problem is likely the page, offer, load time, or form—not the code’s placement. This three-step funnel prevents the common mistake of redesigning a QR code when visitors are already arriving successfully.

Know what the dashboard cannot prove

A redirect service can usually show when a request happened and which code received it. Device labels and approximate location are derived from technical request data and can be wrong or incomplete. A mobile carrier can make a person appear in a different city. Privacy settings, blocked requests, cached pages, and a user closing the browser all create gaps between scan events and website sessions.

For the same reason, “unique scans” should be treated as a provider’s estimate unless the visitor has explicitly identified themselves. It is not a count of unique people. Use geographic and device breakdowns to spot broad patterns worth investigating, not to make individual-level claims.

A weekly review that leads somewhere

  1. Check whether every live code still reaches the intended destination.
  2. Compare only placements with the same goal and comparable exposure.
  3. Identify one bottleneck: visibility, scan invitation, or landing-page action.
  4. Change one variable for the next period and record the change in the campaign sheet.
  5. Keep the winning version long enough to learn from it before changing something else.

Share the conclusion, not just the chart

A useful report ends with a plain-language recommendation. Instead of sending a screenshot showing that a code had 86 scans, write what the team should do: retain the table-card placement, replace the window call to action, or pause the leaflet run until the destination is improved. Include the period, the code names compared, and the limitation that could affect the result. That makes the next decision reviewable and keeps a dashboard from becoming a substitute for judgement.

Before generating a barcode, one question decides everything else: is it for your own systems, or for retail sale?

Internal use — stockrooms, assets, libraries, workshops — you can generate today, free, and it will work. Retail sale through a shop's till system requires a number you have to buy, and no generator can create one legitimately. Confusing the two is the expensive mistake here.

Retail barcodes cannot be invented

EAN-13 and UPC-A codes encode a number issued through GS1, the organisation administering the global numbering system. A retailer's till looks that number up in a shared database. A number you made up either fails to resolve or collides with a real product.

Free "UPC generator" tools produce a valid-looking image from whatever number you type. The image is correct. The number is not yours. Selling with it will be rejected by any serious retailer, and by Amazon's brand registry.

If the product is going into shops, obtain the numbers from GS1 first, then generate artwork from them. The generator is the last step, not the first.

For everything internal, none of this applies — you own the numbering scheme.

For internal work, Code 128 is almost always right. Compact, encodes letters as well as digits, and every modern scanner reads it. Code 39 survives only because older equipment requires it — it produces longer codes for the same data.

The practical division: barcodes identify, QR codes link. A barcode says which item this is to a system that already knows about it. A QR code sends a person to a destination. A shelf label often wants both.

Check digits

EAN-13, UPC-A and ITF-14 end in a check digit calculated from the preceding digits, so a misread fails visibly instead of silently resolving to the wrong product.

A correct generator calculates this for you. If a tool accepts any 13 digits without complaint, it is not validating — and an invalid check digit produces a code scanners reject. When a supplier sends a 12-digit number for an EAN-13, they have almost certainly omitted the check digit rather than made a mistake.

Print requirements

Barcodes are less forgiving than QR codes. A QR code carries error correction and can lose part of its area; a linear barcode has none. One damaged bar can make it unreadable.

Curved and flexible packaging

On bottles, cans and pouches, orientation matters. Print the barcode so bars run vertically around the curve — a ladder orientation — rather than horizontally along it. Bars running around a curve compress at the edges and change their relative widths, which is exactly what the scanner measures.

Generating in bulk

For a stockroom or asset register, generate from a spreadsheet rather than one at a time. One row per item, one column for the code value, one for a human-readable label. Same structure and same failure modes as bulk QR generation — long numeric IDs turning into scientific notation in Excel bites hardest here, because SKUs are exactly the kind of number Excel reformats.

When a QR code is the better choice

Use a QR code when the reader is a phone rather than a scanner, when the content is a URL, when it must work in any orientation, or when the label may be scuffed and you want error correction to absorb it.

Use a barcode when it must be read by existing retail or warehouse equipment. That equipment does not care that QR codes are better; it reads what it reads.

Testing

Print at final size on the real material and scan with the actual device used in production — not a phone app. Phone cameras are more capable than many fixed-mount industrial scanners, so a code that scans on your phone can still fail at the till or on the line.

A practical internal numbering scheme

For internal labels, decide the identifier before generating artwork. A compact scheme such as WH1-A-004217 can identify a warehouse, asset class, and sequence without exposing a product description that may later change. The value should be stable: do not encode a shelf position if the item may move, and do not reuse an ID after an asset is retired. Your inventory system should map the code to the current record.

Keep the barcode value separate from the visible label. The label can say “Drill press” while the Code 128 value remains a durable asset ID. That separation lets a renamed product retain its history and lets staff enter the number manually when a scratched label will not scan.

Proof checklist for barcode artwork

  1. Confirm the number is issued by GS1 when the product is intended for retail distribution.
  2. Confirm the selected symbology is supported by the scanner or retail partner.
  3. Check the check digit rather than assuming a visually valid image is a valid product identifier.
  4. Print at final size on the real label stock and test with the production scanner.
  5. Archive the source value and approved artwork together for future reprints.

Spotify Codes are not QR codes. They look like a barcode of uneven bars beside album art, and that difference has one consequence that decides how you use them.

A Spotify Code can only be scanned inside the Spotify app. A phone camera pointed at one does nothing. Someone without Spotify installed, or who does not know to open the search screen and tap the camera icon, gets no result at all.

The decision follows from the audience. Inside the app — playlist art, in-app promotion, an audience already listening — the Spotify Code is native and appropriate. For anything in the physical world seen by people who may not have Spotify, a QR code pointing at the Spotify URL reaches everyone.

On a poster, the QR code is almost always better. It costs the instant brand recognition of the Spotify shape and gains everyone who does not already have the app open.

Getting a Spotify Code

They are generated by Spotify, not by third-party tools. Open any track, album, artist or playlist, use the share menu, and the code appears beneath the cover art. Screenshot it, or use "Copy link" to get the URL for a QR code instead.

They can be recoloured but not restructured. The bar pattern encodes the Spotify URI and altering it breaks it.

Making a QR code instead

  1. In Spotify, choose Share then Copy link. You get a URL of the form https://open.spotify.com/track/...
  2. Paste it into a URL QR code generator.
  3. Choose dynamic if it is going into print, so the destination can change later.
  4. Label it. "Scan to listen" tells people what happens; a bare code does not.
  5. Test on a phone without Spotify installed to see what a non-user experiences.

The open.spotify.com link handles both cases: it opens the app if installed, and the web player if not. That fallback is the main practical advantage over the Spotify Code.

Where this is worth doing

Gig posters and flyers. Someone at a bus stop can hear the band before deciding to buy a ticket. The strongest use, and exactly where a Spotify Code fails — a passer-by will not open an app to scan a poster.

Merchandise and vinyl inserts. A code inside the sleeve linking to the album or an extended playlist. The buyer is already committed and unhurried.

Venue and cafe playlists. A card on the table for the playlist currently playing. People ask what the music is; this answers without anyone being asked.

Business cards for musicians and producers. The portfolio is audio, so a link to it is more useful than a website.

Press kits. A printed one-sheet where a journalist reaches the music in one scan rather than hunting through an email.

Measuring it

Spotify for Artists reports streams but not how someone arrived. A Spotify Code gives you nothing at all.

Point a dynamic code at the Spotify link and you get scan counts per placement while the listener experience stays the same. One code for the poster run, one for merchandise, one for table cards — then compare against how many of each you distributed. Print notes

Spotify links are long, so the QR grid is denser than a short link. Two consequences: shorten the destination where possible, and do not print it small. Around 3 cm works for a flyer read at arm's length; a poster read from two metres wants roughly 20 cm.

Keep the quiet zone clear — codes placed over album artwork with no margin are a frequent failure on music posters, where the design instinct is to integrate the code into the image. Details in the print size guide.

Why the code alone rarely converts

A code on a gig poster competes with everything else on a wall, and "scan to listen" is a weaker promise than it sounds — people already have music playing. What lifts the response is naming the specific thing behind it: the single, the support act, the live session recorded at that venue. Specificity is doing the work, not the code.

The second lever is where the scan lands. A track link opens one song and ends. An artist or playlist link keeps playing, which is the difference between a thirty-second visit and a session. Unless you are promoting one release deliberately, link the playlist.

Short version

Build a listener-friendly destination

The link is part of the release plan, not an afterthought. Send a new listener to the one action that matches the physical moment: a current single after a show poster, a playlist for a café, or an artist profile on a business card. Avoid a generic link hub that makes someone choose between five services when the printed message promised a song.

If you need a choice of services, create a simple mobile page with clearly labelled Spotify, Apple Music, YouTube, and website links, then point the QR code there. Test it with mobile data and without Spotify installed. The right fallback is the page a curious stranger can use, not the app setup you assume fans already have.

Separate design from access

It is fine to place a Spotify Code beside a standard QR code when the artwork benefits from the Spotify identity. Label them separately: “Open Spotify and scan” for the Spotify Code, and “Scan with your camera to listen” for the QR code. Do not rely on people recognising the difference. Two paths can coexist, but only if each path explains the action it expects.

Use a Spotify Code inside Spotify. Use a QR code everywhere else, because a phone camera reads it and the web player catches everyone without the app. Make it dynamic if it is printed, label it, and give each placement its own code so you find out which poster worked.

A WhatsApp QR code is a link in disguise. Decode one and you get a plain URL — almost always something like https://wa.me/4917612345678.

Once you know that, most problems become solvable, because nearly every WhatsApp QR failure is a malformed number rather than a broken code.

The wa.me format, precisely

The number has strict rules, and every one is a way to break it:

  • Country code included, no plus sign. German mobile 0176 12345678 becomes 4917612345678.
  • No leading zero from the national trunk prefix. The 0 in 0176 is dropped.
  • No spaces, dashes, brackets or slashes. Digits only.
  • No 00 international prefix. Write 44, not 0044.

If a code opens WhatsApp but shows "phone number shared via url is invalid", the number is wrong — not the code. Check the leading zero first; it accounts for most of these.

Pre-filled messages

The message must be URL-encoded. Spaces become %20, commas %2C, line breaks %0A. An unencoded space silently truncates everything after it, which is why some codes open a chat containing only the first word.

Pre-filled text is more useful than it looks. Vary it per placement and the incoming message tells you where the person was standing:

  • Table card: "Hi, I'm at table 4 and would like to order"
  • Property sign: "Hi, I'm interested in 12 Oak Street"
  • Packaging insert: "Hi, I have a question about order"

This is the cheapest attribution available for print. No analytics tool required — the message carries the source.

The revocation row matters before a print run. The in-app code can be reset if it leaks. A printed wa.me code cannot — the number is in the pattern and the only fix is reprinting. Wrapping it in a dynamic code solves this: the printed pattern stays, and you repoint it if the number changes.

Before you print: your number becomes public

Anyone who scans can message you, and anyone who photographs the code can extract the number and keep it. On a shop window that is fine. On a flyer distributed to thousands of households, be deliberate.

  • Use a business number, not a personal one. Reversing this later means reprinting.
  • WhatsApp Business supports away messages and business hours — set them before the code goes out, not after the first evening of messages.
  • Expect some spam. A number visible in public print attracts it.
  • In the EU, an inbound message is not consent to market to that person later. Treat the conversation as support, not a mailing list.

Where it works well

Restaurant and cafe tables. Ordering or calling a server without an app download. The pre-filled message carries the table number.

Property signage. A viewer standing outside at 8pm can ask immediately, and the pre-filled address identifies the property.

Trade show stands. Faster than a form, and the conversation continues after the event on a channel the visitor already uses.

Packaging and manuals. Support without a hotline. Include the product name so the first message already contains what you would otherwise ask for.

Local service vehicles. A code on the van, sized for a few metres, turns parked time into enquiries.

Failures and fixes

"Invalid phone number". Leading zero not removed, or plus sign included.

Opens WhatsApp with no chat. The number has no WhatsApp account. wa.me does not validate this.

Only the first word appears. Unencoded spaces.

Works on Android, fails on iPhone. Usually an old format such as whatsapp://send. Use https://wa.me/, which resolves on both.

Scans but nothing happens on desktop. Expected — wa.me opens WhatsApp Web, which needs a linked phone session.

Print specifics

A wa.me URL is short, so the code has few modules and large, forgiving squares — one of the easier codes to scan. That tolerance disappears if you shrink it too far or add a large logo. Keep it at roughly one tenth of reading distance, quiet zone of at least four modules, dark on light. Details in the print size guide.

Always label it. "Message us on WhatsApp" outperforms a bare code.

Adding tracking

A raw wa.me code reports nothing. Wrap it in a dynamic QR code that redirects to the wa.me URL and you get scan counts per placement while WhatsApp behaviour stays identical. Combine that with a per-placement pre-filled message and you can measure both the scan and the conversation. See the tracking guide.

A practical handoff rule

Decide who answers before publishing the code. Put the expected response time beside the code when it matters, and give the person replying a short, consistent first question. A QR code can remove the first click, but it cannot repair a lead that waits unanswered or arrives without enough context to route it.

Country code, no plus, no leading zero, digits only. Encode the pre-filled message. Use a business number. Wrap it in a dynamic code before printing, so a number change does not cost you a reprint.

Instagram has its own QR code built into the app. So the first honest question is not how to make one — it is whether you need a different one at all.

You do, in one specific situation: when the code is going into print. Everywhere else, the in-app code is fine and free.

The in-app code, and its one limitation

Instagram generates a code for any profile from the profile menu. It works, it is official, it costs nothing.

What it cannot do is change where it points. It is welded to that one profile, which matters the moment the code leaves a screen:

  • You rebrand and the handle changes. Every printed code is dead.
  • You want the code to lead to a campaign landing page during a promotion, then back to the profile.
  • You need to know whether the shop window or the packaging insert produced the followers.
  • You run several accounts and want one printed code routing to the right one.

For a story sticker or a slide, none of this applies. For anything printed in quantity, read on.

What an Instagram QR code actually encodes

That is the whole mechanism. Anything a generator adds — logos, colours, tracking — wraps around that URL rather than changing it.

Two format notes. Use the handle without the @: instagram.com/qrmaster_net, not instagram.com/@qrmaster_net, which resolves to a "page not available" screen. And link the profile rather than a specific post — post URLs contain a shortcode tied to that post, so the code dies when the post is deleted or archived.

Making one that survives print

  1. Copy your profile URL, without the @.
  2. Paste it into an Instagram QR code generator. Choose dynamic if it is going to print.
  3. Keep the design conservative — see the gradient note below.
  4. Download SVG for print, PNG for screens.
  5. Test on a phone not logged into your account. A logged-out view is what most people scanning will see.

The gradient problem

Instagram's brand is a purple-to-orange gradient, so the obvious design move is a gradient QR code. This is the single most common reason Instagram codes fail to scan.

A decoder needs a clear light-dark boundary between modules. A gradient across the pattern pushes parts of the code toward mid-tones, and mid-tone against mid-tone is where scanning breaks down — especially in poor light, at an angle, or on an older camera.

If you want brand colouring, apply it as a solid dark colour on white rather than a gradient, and keep the three corner squares in that same solid dark. Those corners are the finder patterns the camera locates first; decorating them is the fastest way to make a code unreadable.

The other frequent failure is inverting — light pattern on dark. Many decoders handle it, plenty do not. Dark on light works everywhere.

Where Instagram codes actually earn followers

Packaging inserts. The strongest placement — the customer already bought, has a reason to care, and is sitting down. Add a stated reason: "See how it's made" beats "Follow us".

Shop windows and counters. Works when there is a reason to look — beside opening hours, or next to a product people photograph anyway.

Event backdrops and stands. Size it for the room. A code that scans from 30 cm is useless on a wall people stand three metres from.

Receipts. Cheap, already printed, person stationary at the moment of payment.

Business cards, for visual businesses. Photographers, designers, makers, venues — the portfolio is the profile.

Where it does not work: on social posts. The person is already on a phone and cannot scan the screen they are looking at.

Why "Follow us" underperforms

A code labelled "Follow us on Instagram" asks for a favour. A code labelled with what the person gets makes an offer. Same mechanics, different response.

  • Restaurant: "See this week's specials"
  • Salon: "Before and afters from this month"
  • Retail: "New arrivals, posted first here"
  • Maker or workshop: "Watch this being made"
  • Venue: "What's on this weekend"

Each promises something the profile actually contains. A promise the grid does not deliver produces a follow and an immediate unfollow.

Measuring it

Instagram will not tell you which printed code produced a follower. Its analytics start once the person is on the platform, and a scan looks like any other profile visit.

To separate placements, point each code at a dynamic redirect that forwards to your profile. You get a scan count per placement while the visitor experience stays identical. One code for the window, one for packaging, one for the counter — then compare scans against how many units of each you put out. See the tracking guide.

Watch follower count around distribution as a rough cross-check. Noisy, but a flat line after 5,000 packaging inserts tells you something.

Print details

  • Size for distance. Roughly one tenth of reading distance. A window code read from two metres wants about 20 cm.
  • Quiet zone. At least four modules of clear margin. Codes pressed against a photo edge fail.
  • Vector for print. An upscaled PNG produces soft edges and unreliable scans.
  • Logo under 30 percent. Beyond that, error correction cannot reconstruct the covered area.
  • Test the printed proof, not the file. Paper stock, ink spread and matte finishes all change behaviour.

Profile readiness checklist

Scan the code as a new visitor would. The profile should have a recognizable photo, a plain-language bio, a working contact method and a few recent posts that fulfil the promise in the CTA. If the profile is private, say so next to the code; asking somebody to scan merely to hit a follow-request screen is a poor first experience.

For a promotion with a fixed end date, direct the code to a simple campaign page first and link to Instagram from there. That gives the visitor context, lets the printed QR stay useful after the promotion, and avoids making a vanished post the only destination.

Short version

Use Instagram's own code on screens. Use a generated dynamic code for print, so a handle change does not cost a reprint. Skip the gradient. Label it with what the person gets. Give each placement its own code.

"Trackable QR code" is a slightly misleading phrase. No QR code is trackable. What is trackable is the redirect a dynamic code points at — and everything you can and cannot learn follows from that one fact.

What makes a code trackable

A static code encodes your destination directly. The phone reads the pattern and goes straight there. Nothing sits in between, so nothing counts anything. This is not a limitation a better tool can fix; it is how the format works.

A trackable code encodes a short link you control. The scan hits your redirect service, which logs what the HTTP request reveals and then forwards the visitor. The tracking is a side effect of the detour.

That detour costs a few hundred milliseconds and buys you every number in your dashboard.

What a scan record actually contains

An HTTP request carries a limited, specific set of information. Understanding it prevents both disappointment and over-claiming.

Two points deserve emphasis because vendor material routinely blurs them.

Location is derived from IP address, not GPS. On wifi it usually resolves near the actual place. On mobile data it can resolve to the carrier's gateway, sometimes a different city entirely. Treat it as directional, never as a map pin.

"Unique scans" are an estimate. Without a cookie or a login there is no reliable way to distinguish one person scanning twice from two people scanning once. Providers infer it from IP and user agent, which is a guess that fails on shared networks and succeeds by accident elsewhere.

Making codes genuinely comparable

The most common setup failure is one code for an entire campaign. It produces a single number with no decision attached to it.

The alternative costs nothing extra:

  1. One code per physical placement — not per campaign, not per channel.
  2. Names describing the placement, not the campaign. counter-store-3 is still meaningful in six months; spring-b is not.
  3. Distinct UTM parameters per placement so the trail continues into GA4.
  4. The distributed quantity recorded alongside each code.

That fourth item converts scans into a scan rate, and only the rate is comparable. Two hundred scans is a strong result from 250 table cards and a poor one from 10,000 flyers.

Where the numbers stop matching

Scan counts and web analytics sessions will disagree, typically by 10 to 30 percent, with scans higher. This is normal and has three causes: people who scan and close before the page loads, tracking prevention and ad blockers suppressing the analytics hit, and bots or link previewers touching the redirect.

A gap above roughly half usually means something is wrong on the destination — most often a slow page or a redirect chain. Treat the ratio as a diagnostic rather than an annoyance.

Static codes and the partial workaround

If a code is already printed and static, you are not entirely without options. Encoding a URL that carries UTM parameters lets web analytics attribute the session to that campaign.

What this cannot do is confirm the visit came from a scan. Anyone typing or sharing that URL is counted identically. And separating placements requires a distinct URL per placement, which for already-printed material is not possible. It is a partial measure for a single surface, not a substitute.

Privacy is part of the setup, not an afterthought

Scan logs contain IP addresses, which are personal data under GDPR. Providers differ substantially: some store raw IPs indefinitely, some hash them, some truncate the last octet, some discard them once a country has been resolved.

If you operate in the EU, get that answer before choosing a provider, because it determines what has to appear in your privacy notice and what your retention period is. Respecting the Do Not Track header costs a small amount of precision and removes a compliance question from a marketing metric.

A setup that produces decisions

Start with one placement you already have in print. Give it its own dynamic code, its own UTM combination, and write down how many units are in circulation. Measure for two weeks without changing anything.

You now have a scan rate that applies to your business rather than to an industry average. Every future placement gets compared against it, and the comparison is the thing that changes decisions — not the raw count.

Use a measurement log, not memory

Keep one row per code with its destination, placement, launch date, number of pieces distributed and planned decision. Then review the row on a fixed date: keep, move, change the CTA or retire it. This small record prevents a familiar failure mode: seeing a dashboard total months later and no longer knowing what physical object created it.

Do not optimize every metric at once. First establish that a placement is scanned. Then improve the landing page or the offer if scans do not become useful visits. Separating those questions stops a weak poster from being blamed on a perfectly good destination, or the reverse.

"One trillion QR codes scanned in 2025." Quoted constantly, attributed to nobody in particular. No organisation is in a position to measure global scan volume — scans are distributed across thousands of unconnected providers, plus static codes that generate no telemetry at all. "QR scans grew 57 percent year on year." Traces to a single provider's own platform data. It describes that provider's growth, which is a business result, not a market measurement.

None of these are necessarily wrong. They are unfalsifiable, and repeating them without that caveat is how the citation loop got started.

Why QR statistics are unusually unreliable

  • Static codes are invisible. A static code has no server in the path. Nobody counts those scans, including the person who printed it. Any "total scans" figure silently excludes an unknown share of all activity.

The practical consequence: your own baseline is worth more than any published figure. One code on one placement, with the distributed quantity recorded, measured for two weeks, gives you a scan rate that actually applies to your business.

  1. Follow the citation to its end. If the trail stops at a vendor blog, the number is marketing.

The genuinely defensible conclusion is narrower than the headlines suggest: QR codes are a familiar interaction for many people, but no broad statistic can predict the result of a particular printed campaign. The information beyond that comes from your own placements, destinations and conversion data.

How to use statistics responsibly

Published QR figures rarely describe the same thing. One survey may ask whether somebody has ever scanned; another may count payment transactions; a vendor dashboard may report scans from its own customers. None automatically predicts how a poster, menu or package will work for your audience. Read the geography, sample, date, question wording and source before comparing percentages.

For a planning decision, your own pilot is more actionable than a broad adoption headline. Put one clearly labelled code in a representative location, record exposure as best you can, and compare its scan rate with a second placement. That produces evidence tied to your offer and print context without pretending a global number is a forecast.

Events are the one environment where QR codes are unavoidable and also most likely to fail — because the venue is exactly where mobile connectivity collapses.

Two thousand people in a hall are two thousand phones on one or two cell sites. Anything requiring a page load at the door will be slow when it matters most. Designing around that is most of the work.

The connectivity rule

Must work offline: entry tickets, calendar entries, contact exchange, venue Wi-Fi, emergency information. Encode the data directly so no network is needed. A calendar QR carries the whole event in the pattern.

Can require a connection: agenda, speaker profiles, feedback forms, slide downloads, sponsor offers. These are consumed while seated, when there is time to wait.

Getting this backwards is the classic event failure: a dynamic ticket code at the entrance, a queue forming, staff falling back to checking names on a laptop.

Before the event

On the invitation: a calendar code. An encoded event contains title, date, time, location and description. One scan puts it in the calendar with no typing and no signup. The highest-value code of the whole event, because it directly reduces no-shows — and needs no network.

Include the venue address in the location field. Most calendar apps make it tappable for navigation, removing the "where was it again" message on the morning.

On posters and flyers: registration. Use a dynamic code. Registration URLs change, sessions sell out, pages move. A poster printed six weeks out will outlive at least one URL change. Give each poster location its own code so you learn which venue produced signups.

At the door

Tickets: encode the ticket data itself. Never a link. The entrance is where the network is worst and the queue most visible.

  • Print size at least 3 cm. Attendees show tickets on cracked screens at low brightness with auto-dimming on. Larger is more forgiving.
  • Error correction Q or H. Tickets get folded, wet and crumpled.
  • Test scanning from a screen, not just paper. Glossy phone screens under venue lighting behave differently from card.
  • Have a manual fallback. A readable reference number beside the code. Some phone will be dead.

Venue Wi-Fi: encode the credentials. Network name and password in the pattern. Removes a question staff would otherwise answer several hundred times.

Agenda and session details. A dynamic code so last-minute changes propagate without reprinting. Place it where people wait — outside rooms, at coffee stations, on table cards.

Badges: contact exchange. An encoded vCard lets people swap details with a scan instead of photographing a badge they cannot read later. Keep it trimmed — name, company, email, one number. A full vCard with a photo is too dense to scan from a lanyard at conversational distance.

Feedback while it is fresh. A code on the exit door or seat back, linking to a form of no more than three questions. Response rates collapse with every additional field, and entirely if the request arrives by email two days later.

Placement, ranked by what actually works

  1. Table cards and seat backs. Seated, stationary, phone in hand. Best scan rates at any event.
  2. Queue areas. Captive and bored.
  3. Badges. Scanned in conversation, deliberately.
  4. Room entrances. A pause point where people check they are in the right session.
  5. Stand walls. Works if sized for where the crowd stops.
  6. Corridor posters. Poor — people walk past.
  7. Presentation slides. Very poor in a large room. Too small for row 20, and gone before people react.

If a code goes on a slide, leave it up for at least thirty seconds and size it for the back row.

After the event

The codes you printed still exist in bags and on badges for weeks. If they were dynamic, repoint them: slides, the recording, next year's registration. A code pointing at a dead event page is a wasted asset, and repointing costs nothing.

This is a strong argument for making agenda and stand codes dynamic even where static would have worked during the event.

Failures worth planning for

  • The venue network dies. Anything critical must work offline.
  • Screens too dim to scan. Train door staff to ask for brightness first.
  • Lanyards facing backwards. Print the badge code on both sides.
  • Codes below eye line. A code at knee height on a stand goes unnoticed.
  • One code for the whole event. You learn nothing.

A minimum set

For a mid-sized event, five codes cover most of the value: calendar on the invitation, registration on the poster, ticket on the confirmation, Wi-Fi at the entrance, feedback at the exit. Three of the five work without any network at all.

Start with the calendar code. Cheapest to produce, no infrastructure, most direct effect on whether people turn up.

Plan for the failure points

Give every operational code an owner and a fallback. If the Wi-Fi QR cannot join the network, staff need the network name and password. If a ticket scanner loses connectivity, there must be a manual check-in path. If a schedule changes, the dynamic destination should be updated before doors open and the printed sign should explain where to find the latest version.

Keep attendee data separate from convenience. A calendar link can be public; a ticket or check-in link should reveal only what the attendee needs. A typed contact takes about a minute and rarely happens. A scan takes five seconds. That is the entire argument, and it only works if the code is built correctly.

An encoded vCard puts the data in the pattern itself. It works in a basement with no signal, needs no provider, and will still work in ten years. The cost is density: a full vCard with name, title, company, two numbers, email, website and address can push the grid past 77 by 77 modules — a lot of pattern to fit on a card and still scan.

A link keeps the code small and stays editable, at the price of needing a connection at the moment of scanning. At a trade show with saturated mobile networks, that is exactly when connections fail.

Reasonable default: encode a trimmed vCard for reliability, kept short by leaving out what nobody needs.

Trimming the vCard

Every field adds modules. Include only what the recipient uses:

  • Keep: full name, one phone number, one email address, company, job title
  • Usually drop: postal address, fax, second phone, department, assistant, birthday, photo

An embedded photo is the worst offender — it can multiply the encoded size several times over and produce a code too dense to print at card scale. Leave it out.

Dropping the postal address alone often reduces the grid by a full version step, which is the difference between a code that scans at arm's length and one that does not.

Sizing it for a card

A business card is read at about 10 to 15 cm, so the one-tenth rule suggests roughly 1 to 1.5 cm. That is the theoretical minimum, and for a dense vCard it is not enough.

  • 2 cm square for a trimmed vCard. This is the size that works reliably.
  • 1.5 cm only for a short link, never a full vCard.
  • Quiet zone of at least 4 modules — on a card, around 2 to 3 mm of clear space.
  • Never bleed a code off the edge. Trimming variance clips the pattern and the code dies.

On a standard 85 by 55 mm card, a 2 cm code plus quiet zone occupies a meaningful corner. Design around it from the start rather than squeezing it in at the end. More in the print size guide.

Print details specific to cards

  • Matte, not gloss. Cards are handed over under overhead lighting — exactly where laminate produces a white reflection over the code.
  • Solid black, not rich black. Registration drift on a small code softens edges more than on a poster.
  • Avoid spot UV and foil over the code. Both alter reflectivity unpredictably.
  • Vector artwork. At 2 cm, soft edges from an upscaled PNG cost the tolerance you need.
  • Dark card stock is a problem. An inverted code fails on many older cameras. Place the code in a light panel instead.

Label it

A bare code gets scanned less often than one with two words beside it. "Save my contact" states what happens. Without it, the code competes with every other unexplained code the person scanned that week — and a proportion assume it leads to marketing.

When dynamic is worth it

Encoded vCards cannot be changed. Print 500 cards, then change number, company or title, and all 500 are wrong.

For people whose details are stable that is fine, and a static vCard is the better engineering choice. For anyone in a growing company, or a role where the title changes, a dynamic code pointing at a contact page is worth the subscription — one edit updates every card already in circulation.

The hybrid that works well: a dynamic code pointing at a page which itself offers a vCard download. You keep editability, and the recipient still gets a one-tap save.

Testing before you order

  1. Print the proof at actual size on the real stock, including the finish.
  2. Scan with an older phone as well as a new one.
  3. Hold it at natural distance — the length of a handshake, not close to your face.
  4. Test under overhead lighting, where reflections appear.
  5. Check the saved contact is correct: some vCard encoders mangle special characters, and umlauts are a frequent casualty.

That last check matters. A code that scans perfectly but saves your name with a corrupted character is a subtler failure than one that does not scan, because nobody tells you about it.

Short version

Encode a trimmed vCard, no photo, no postal address. Print at 2 cm with a clear quiet zone, matte, in vector, never bleeding off the edge. Label it. Use a dynamic code instead if your details are likely to change before the box runs out.

Make the card worth keeping

A QR code earns space when it continues the conversation the card began. Choose one action: save contact details, view a portfolio, book a meeting or request a quote. Trying to place every option behind one code usually produces a generic homepage and no clear next step. If the card is primarily exchanged at networking events, a compact vCard is the most direct promise; if it is left in a shop, a landing page with relevant work may be stronger.

Test the complete handoff, not only the scan. On a second phone, save the contact, check the name order and tap the number, email and website. A card can scan flawlessly while a field is malformed, and that error is harder to notice once hundreds have been printed.

QR codes are the only mechanism that makes print measurable. That is the reason to use them in marketing, and almost every other justification is decoration on top of it.

A poster costs the same whether it works or not. Without a code you will never know which of the two it was.

The scan is not the goal

The most expensive mistake in QR marketing is treating scans as the metric. A scan is a click. Nobody reports click counts as campaign results, yet QR dashboards encourage exactly that.

Three numbers matter, in order:

  1. Scan rate — scans divided by units distributed. The only figure comparable across placements.
  2. Completion rate — scans that produced the intended action.
  3. Cost per action — production and distribution divided by completions.

400 scans from 500 table cards is an 80 percent scan rate and an exceptional result. 400 scans from 20,000 flyers is 2 percent and a failure. The raw number is identical and tells you nothing.

Placement beats design

A plain black code where people are waiting will out-scan a beautifully branded code where they are walking. Consistent enough to treat as a planning rule.

Scanning requires the person to be stationary, with a hand free, with a stated reason, and a reward worth ten seconds. Waiting is the raw material QR codes convert.

The call to action does the work

"Follow us" asks for a favour. "See this week's specials" makes an offer. Same code, different response.

A usable CTA states what the person gets, in words rather than a logo, and the destination delivers it immediately. A code promising a discount that lands on a homepage where the discount must be hunted for produces a scan and a bounce — worse than no code, because it consumed attention you had.

The destination must be a mobile page. Every scan is a phone. A PDF, a desktop layout or a slow page discards the interest the code just earned.

Attribution that survives contact with reality

One code per placement, never one per campaign. A single code across posters, packaging and flyers produces one undifferentiated number that answers no question.

  • A distinct dynamic code per surface.
  • Names based on the physical placement — window-highstreet, not campaign-3.
  • UTM parameters with constant source and medium, varying utm_content per placement.
  • Recorded distribution quantities and dates per placement.

Expect scan counts to exceed GA4 sessions by roughly 10 to 30 percent — people who scan and close, plus tracking prevention. A larger gap usually means a slow landing page. Setup in the UTM guide, limits of the data in the tracking guide.

Dynamic codes change what a campaign can do

  • Sequenced campaigns. Teaser before launch, offer during, recap afterwards — one print run.
  • Repointing when something fails. An underperforming landing page can be replaced mid-campaign.
  • Post-campaign reuse. Material in circulation for months keeps working instead of leading to a dead page.
  • A/B testing in print, otherwise almost impossible — two poster versions, two codes, compare scan rates against equal quantities.

That last one is genuinely underused. Print has historically been untestable; two codes and matched runs make it testable.

Setting a baseline before spending

Most QR campaigns are judged against nothing. Before the main run, put one code on one placement you already have, record the quantity, and measure for two weeks.

That number becomes the reference every future placement is compared against. Without it, 300 scans is neither good nor bad — just a number that arrived.

Mistakes that waste the budget

  • One code for the whole campaign. No learning, and the print run is spent.
  • Scanning as the success metric. Measures interest, not outcome.
  • Homepage as destination. Breaks the promise the code made.
  • Free dynamic codes in print. If the plan lapses, the printed code dies.
  • No printed proof test. Almost every expensive failure was visible on the proof.

Where to start

Take the placement where your customers already wait. Give it one dynamic code, a CTA that names what they get, a mobile destination that delivers it immediately, and a record of how many units are in circulation.

Two weeks later you have a scan rate. That figure is worth more than any industry benchmark, because it came from your customers standing in your business.

Campaign brief: the five decisions to write down

  1. Audience moment: where the person is and why they have time to scan.
  2. One promise: the specific value stated beside the code.
  3. Destination: the mobile page, form, message or asset that delivers that promise.
  4. Placement identifier: a distinct code and UTM value for each physical surface.
  5. Success decision: what result would make you keep, change or remove the placement.

This turns QR marketing from a decorative add-on into a small experiment. It also makes creative reviews easier: if the CTA, destination and success decision cannot be stated in one sentence each, the code is not ready for print.

A QR code cannot contain a virus. It is a way of writing text with squares — the same information a link carries, in a form a camera can read.

The risk is not the code. It is that a human cannot read it before deciding to trust it. With a printed link you see the domain and judge. With a code you judge after arriving.

Quishing

"Quishing" is phishing delivered by QR code. It works because it crosses two boundaries at once.

It leaves the email system, where scanning engines inspect links, rewrite them and check reputation databases. An image of a code passes through as an image.

And it lands on a personal phone — usually less endpoint protection than a work laptop, a smaller screen that truncates the address bar, and a user standing up and in a hurry.

  • Stickers over real codes. Parking meters, EV chargers, restaurant tables, package lockers. A sticker costs almost nothing and sits where people expect to pay.
  • Fake invoices and delivery notices by post, carrying a code to a payment page.
  • Internal-looking emails — a code to "re-authenticate your account", pointing at a credential harvesting page.
  • Fly-posted notices offering a survey, a prize or free Wi-Fi.

What actually happens after a malicious scan

Credential theft. The commonest by far. A convincing sign-in page, and typed credentials go to the attacker. No software involved.

Payment fraud. A payment page that looks like the parking operator. The money goes elsewhere.

Silent actions. Codes can encode actions other than links — connecting to Wi-Fi, composing a message to a premium-rate number, adding a contact. Most phones confirm first, but the prompts are easy to accept without reading.

Exploits. Rare and valuable, aimed at browser vulnerabilities. This is why an up-to-date phone matters more than any scanning habit.

What does not happen: a code cannot install anything by itself, cannot read your data by being scanned, and cannot do anything without at least one further action from you.

Habits that work

  1. Read the URL in the preview before opening. Every current phone camera shows the destination first. This one habit prevents most of it.
  2. Check the domain from the right. Read backwards from the first single slash. In paypal.com.secure-login.xyz/pay the real domain is secure-login.xyz. Attackers rely on people reading left to right.
  3. Feel for a sticker. On payment terminals and parking meters, run a finger over the code. A sticker has an edge.
  4. Never enter credentials from a scan. If a code leads to a login, close it and reach the service the way you normally would.
  5. Distrust unexpected codes on paper post. Legitimate invoices reference an account you can verify independently.
  6. Keep the phone updated. The defence against the rare exploit case.

A shortened link is not itself suspicious — most dynamic codes use one. Judge it by where it lands and what it asks for.

If you publish codes

Check your own codes physically. Anything unattended in public should be inspected on a schedule. A tampered code damages your customers and your reputation, and you will hear about it from them rather than from monitoring.

Make tampering harder. Print codes directly onto the surface rather than applying a sticker. Laminate or use tamper-evident material.

Say where it goes. "Scan to view our menu at ourrestaurant.co.uk" lets a customer verify the destination against the preview. Costs nothing and defeats the sticker attack directly.

Use your own domain. A redirect on a domain customers recognise is verifiable in the preview. A generic shortener domain is not.

Prefer dynamic codes for anything long-lived. If a destination is compromised or has to change, you repoint it rather than replacing physical material. See dynamic vs static.

Never ask for credentials or card details after a scan. Beyond the direct risk, it trains your customers to do the exact thing that makes quishing work.

For organisations

  • Include QR codes in phishing training. Most programmes only cover links in email — precisely the gap attackers use.
  • Assume email filtering will not catch it. A code is an image.
  • Extend reporting to personal devices. Staff scan work-related codes on their own phones and often have no way to report something suspicious.
  • Watch physical premises. Reception, car parks, meeting rooms and visitor areas are where stickers appear.
  • Enforce MFA. It limits the damage of the credential theft case, which is the one that actually happens.

Privacy, separately from security

A dynamic code logs the scan — time, device type, approximate location from IP. Ordinary web-request data rather than surveillance, but IP addresses are personal data under GDPR.

If you publish codes in the EU, know how your provider handles it: whether raw IPs are stored, hashed or truncated, how long logs are kept, and whether Do Not Track is respected. Those answers belong in your privacy notice. More on the limits of scan data in the tracking guide.

Proportion

QR codes are not dangerous in the way the coverage sometimes suggests. They are a display format for text. The risk is ordinary phishing with the inspection step removed — and it is answered by restoring that step.

Read the preview before opening. Check the domain from the right. Never sign in or pay from a scan you did not initiate.

Safer scanning habits for teams

For staff, make the rule concrete: a QR code that appears on an unexpected parcel, invoice, poster or email attachment is not a trusted shortcut. Open the official site or app independently instead. If a scanned page requests a password, payment details or a download, stop and reach the service through a known bookmark, typed address or established contact channel.

For organizations that publish codes, reduce the same ambiguity. State the destination domain beside the code, use a recognizable branded redirect where possible, and avoid covering a code with a sticker or placing it where tampering is hard to see. A short instruction such as “opens example.com/menu” helps a visitor verify the preview before they continue.

Straight answer first: QR Master does not currently offer a public REST API with token authentication. The application's endpoints are session-authenticated and CSRF-protected, which means they work from a signed-in browser and not from a script or a server.

If you came here looking for an API key, that is the honest position today. What follows is what you can do instead — and most of it needs no vendor API at all.

Generating codes in code

A QR code is a deterministic transformation of text into a matrix, specified in ISO/IEC 18004. Any conforming library produces the same result as any other. For static codes there is no reason to call a remote service.

Note margin: 4. That is the quiet zone the specification requires, and cutting it is the most common cause of codes that fail in print.

Batch generation from a data file

The common real task is not one code but several hundred, from a spreadsheet export:

The part libraries cannot do

Everything above produces static codes. The destination is in the pattern and cannot change after printing, and nothing counts the scans.
